Financial Administrator (position filled)
August 2010 - The Irish Council for International Students (ICOS) is currently recruiting to the full-time position of Financial Administrator to start as soon as possible. ICOS is a non-governmental organisation which advocates for the rights and entitlements of international students in Ireland and provides services to higher education institutions which are its members. ICOS also administers a Fellowship Programme on behalf of the Department of Foreign Affairs.
The successful candidate will be replacing the current post-holder, who is leaving his position in August 2010. The post involves responsibility for the full range of tasks in the accounts function from payroll and monthly management accounts to budgeting, audit preparation and corporate compliance.
The ideal candidate will be a highly motivated pro-active person with excellent technical skills and at least 2-3 years experience of all financial procedures in a general office environment. H/she will be a good communicator and team worker. ICOS needs someone who is flexible when required, is capable of working on their own initiative, and able to handle deadlines well. Experience of working in the non-profit sector would be an advantage.

Duties and Responsibilities:
Accounts and Book-keeping:
- Manage ICOS’ bank accounts including on-line transactions
- Manage all Pay-roll transactions including staff expenses
- Manage company pension and health insurance schemes
- Ensure compliance and make payments as required to the Revenue Commissioners
- Make annual returns to the Companies Office
- Pay suppliers and issue invoices in a timely manner
- Monitor and control Debtors and Creditors
- Manage Petty Cash
- Pay allowances and stipends to Fellowship Holders and manage their accounts
- Ensure that all necessary records and evidence of financial transactions are maintained and that all records are appropriately archived
Reporting and Financial Controls:
- Prepare Monthly Management Accounts for the Director and Hon Treasurer
- Prepare annual financial reports for ICOS’ Board of Directors
- Prepare Financial Reports for ICOS contractors and funders
- Prepare books for Audit and liaise with ICOS Treasurer and external Auditors
- Prepare and review budgets
- Make recommendations on efficiencies and cost savings
- Undertake a regular review of financial systems and controls
General:
- Participate in general ICOS service planning and programme development activities
- Attend management and other internal ICOS meetings
- Assist with ICOS events and provide general office support as required
- Prepare own personal development plan and attend training as required
Requirements:
Essential:
- Accounting qualification and minimum 2-3 years post qualification experience
- Good IT skills especially excel and accounting software. Knowledge of TAS Books an advantage
- Good communication skills
- Flexible approach as this is a small office environment
- Attention to detail and good planning ability
Desirable:
- Experience in working in a Non-Governmental / Not-for-profit environment
Conditions:
This is a long-term position subject to continuing Government funding for services provided by the organisation. The probationary period is 6 months. A salary of c€40,000 is envisaged depending on qualifications and experience. Standard office hours and annual leave apply.
